Why must the company address be updated in the "UT publication" of the commercial register in addition to the commercial register extract?

Many companies assume that it is sufficient to enter the new business address once in the commercial register extract. However, this is a common misconception. In Germany, there is a separate, machine-readable publication in the commercial register – the so-called company owner publication (UT publication).

The UT publication is the authoritative source for many official and commercial databases. It contains the most important company data in a structured format, including the current business address.

Why updating the UT publication is so important:

  1. Automated data import:
    Numerous systems – from credit reporting agencies to industry directories – read their data directly from the UT publication. If the address is outdated here, the incorrect address will continue to be displayed in these systems as well.
  2. Legal certainty and official accuracy:
    While the commercial register extract in PDF format is important, it is often only considered a "snapshot". The UT publication is considered a continuously updated, official source for the current address.
  3. Avoiding delivery problems:
    Authorities, business partners, and courts can rely on machine-readable data. If the address is incorrect, important mail cannot be delivered.
  4. Faster visibility of changes:
    A changed commercial register extract alone does not ensure that online portals or data providers update your address promptly – the UT publication, on the other hand, is often adopted within 24 hours.
